Dear Partners in Ministry,
I've been coordinating our parish's long-running Concert Series for three seasons now, and it's become crystal clear to me that it's more work than I can handle alone. There is a good deal of communication with artists and media outlets, coordination of volunteers, physical setup and teardown, hospitality to our artists and audiences, and more that is simply no longer possible on my own.
I'm looking to create a Concert Series Committee, consisting of several good people such as yourselves who are dedicated to tackling specific facets of this little operation.
So far, I've come up with four "positions" which would go a long way toward the success of future concerts. I would assist and support each of these positions fully.
- Artist Liaisons: 2-3 persons, each assigned one or more of our concerts in a given season, who serve as the first point of contact for our artists, and who collect documentation and information from them on a timely basis. Must have excellent communication skills, send and answer communications quickly, and gently nudge artists for information when due.
- Hospitality Coordinator: a highly-organized people person who coordinates the audience hospitality for each concert: arranging for and supporting volunteer greeters to assist guests and distribute programs, setting up the freewill offering table, opening the church for seating, and assisting guests when needed.
- Stage Manager: Coordinates the setup and teardown of chairs, podiums, mics, and the piano as needed for each concert; arranging for and supporting volunteers to assist as needed. This can be a somewhat physically strenuous task, requiring the ability to lift and move sometimes heavy objects.
- Rooms Managers: A detail-oriented person who can set up, secure, and clean up the Resurrection and Nativity Rooms for our artists.
This committee would meet sometime this summer to begin preparing for the season; sometime midway through to check in with each other; and after the season to reflect and review.
In addition to the specific skills each position requires, I'm looking for people who can collaborate, bring positive energy, and represent the Series well. Almost every artist I've worked with here has expressed genuine appreciation for the welcoming and supportive spirit they've encountered here, which is one of the most important aspects of the Series to me.
